The documents, decisions and review points to agree before work begins—and the information to keep after handover.

A defined appointment

Identify the contracting parties, the scope, named responsibilities, fees, insurance or qualification evidence where relevant, and the route for agreeing changes.

A coordinated specification

Keep surveyed information, drawings, equipment schedules, selected materials and client-supplied items consistent before procurement.

Visible progress

Agree the update format, inspection points and decision register. Concealed work should be reviewed and recorded where required by the specification.

A controlled change process

Document requested changes and their cost or programme effects before approval. Issue the revised information to the people doing the work.

An organised handover

Review the agreed scope, record snags and allocate responsibility for close-out. Keep the specified test records, operating instructions and care documents.

Clear aftercare responsibilities

Record the contacts, workmanship terms and manufacturer warranties that apply to the actual contract. Product maintenance and reporting procedures should be available to the owner.

Confidence you can check.

Ask for relevant evidence and references as part of appointing your project team. A design visualisation, manufacturer logo or website statement cannot replace that check. The agreed proposal defines which documents and responsibilities apply to your project.
